How to use Claude Skills to Run Entire Excel Report — Data Cleaning to PowerPoint

Not just formulas. Claude cleans your data, builds dashboards, drafts emails, schedules meetings, and hands off polished decks — all from plain English. 🧠

From Messy Spreadsheet to Boardroom Deck — Without Leaving Excel

Most teams use Excel for data that's never quite clean and reports that take way too long to build. Duplicate rows, missing categories, inconsistent formats, five versions of the same chart — sound familiar?

Claude AI, working directly inside Excel, handles the full workflow end to end. It cleans your data and flags anything it's unsure about, builds executive dashboards and forecasts, generates interactive pivot charts, drafts the stakeholder email, schedules the review meeting on your calendar, and hands off a fully formatted Word report and PowerPoint deck — all from a plain English conversation. No formulas to memorize, no VBA, no context-switching.

The Full Workflow, Step by Step

1

Install the Claude add-in inside Excel

Go to Add-ins → More Add-ins and search for Claude. You'll need a Claude subscription (Pro at $20/mo or Max). Once installed, the Claude chat panel opens on the right — log in and you're ready.

2

Clean your data — and let Claude flag what it's unsure about

Paste your range and describe the issues. Claude removes duplicates, deletes blank rows, fixes inconsistent categories and date formats, converts currencies, and highlights in yellow any cell it isn't confident about — with a comment explaining why.

3

Build an executive dashboard with KPI cards and pivot tables

Describe the view you need and Claude creates a new Dashboard sheet with revenue by quarter, attainment tracking, and conditional color formatting (green / yellow / red) — all editable like any normal Excel sheet.

4

Generate a forecast and What-If table

Ask for a 3-month rolling average forecast and a What-If table at 5%, 10%, 15%, and 20% growth. Claude adds the projected revenue section automatically.

5

Create and fix charts — then convert to interactive pivot charts

Prompt Claude to build a pie chart, clustered bar chart, and line chart on a new Charts sheet. If any come up empty, just say so — it self-corrects within seconds. Then ask it to convert all three to pivot charts so stakeholders can filter by region, quarter, or product line themselves.

6

Draft the stakeholder email via the Gmail connector

Add the Gmail connector under Connectors. Ask Claude to draft an email with the key takeaways from the data — it reads the workbook and formats a professional draft with subject, recipient, tables, and color coding. Note: Claude prepares the draft; you send it.

7

Schedule the review meeting via Google Calendar

Add the Google Calendar connector the same way. Ask Claude to schedule a meeting — it creates the invite with the correct title and attendees. Tip: set read actions to Always Allow, but require approval for write and delete actions.

8

Export a Word report and PowerPoint deck using Skills

Open a Word doc alongside Excel and run /excel-brief-writer. Open a blank PowerPoint and run /excel-deck-builder. Each agent reads the workbook, follows your team's formatting standards, and builds the full document — cover page, executive summary, KPI cards, charts, analysis, and outlook — automatically.

What Claude Handles Inside Excel

🧹 Smart Data Cleaning

Removes duplicates, blank rows, and bad data. Fixes categories, date formats, and currency symbols. Highlights uncertain cells in yellow with comments — never silently guesses.

📊 Executive Dashboards

Builds pivot tables, KPI cards, and quarterly performance views with conditional green / yellow / red formatting on a dedicated Dashboard sheet.

📈 Forecasts & What-If Tables

Generates 3-month rolling average forecasts and projects annual revenue at multiple growth rates — added directly to your workbook.

📉 Interactive Pivot Charts

Creates pie, bar, and line charts — then converts them to pivot charts so stakeholders can slice by region, quarter, or product line without a new file.

📧 Email Drafts & Calendar Invites

Reads your workbook and drafts a stakeholder email with tables and takeaways via Gmail. Schedules the review meeting on Google Calendar — all without leaving Excel.

📝 Word Reports & PowerPoint Decks

Uses custom Skills (/excel-brief-writer and /excel-deck-builder) to hand your data off to Word and PowerPoint agents that build formatted documents automatically.

Prompts vs. Skills — What's the Difference?

A promptis a one-time instruction you type — "make this chart blue." A skill is a reusable, packaged set of instructions Claude loads automatically when it detects the right task.

Skills encode your team's formatting standards, tone, and templates so they apply every time — without re-typing them. To add a skill, go to Skills in the Web or Desktop app, click Manage Skills, and upload a zip file containing a folder with a SKILL.md inside.

📄 /excel-brief-writer

Reads your workbook and hands it to a Word agent that builds a full report — cover page, executive summary, KPI cards, monthly trends, top products, analysis, and 2026 outlook.

📊 /excel-deck-builder

Scans the workbook, captures data and charts, and hands everything to a PowerPoint agent that builds a complete slide deck with a professional theme — including a self-correction pass at the end.

Example Prompts to Try

"Remove duplicate rows keeping the first occurrence, delete all blank rows, and resequence the rank column from 1 onwards. Highlight in yellow any cell you're not confident about, with a comment explaining why."
"Create an executive dashboard sheet with a pivot table showing Revenue and attainment by Quarter. Add KPI cards for Total Revenue, Best Month, Worst Month and Average Attainment. Format green if >100%, yellow 90–99%, red below 90%."
"Create a forecast using a 3-month rolling average, and build a What-If table showing projected annual revenue at 5%, 10%, 15%, and 20% growth."
"Create 3 charts on a new sheet called Charts: a pie chart of revenue by category, a clustered bar chart comparing monthly revenue vs. target, and a line chart for units sold trend."
"Using the Gmail connector, prepare a draft email of the report for info@example.com with key takeaways from the data."
"Schedule a meeting on coming Monday at 11 AM with info@example.com for sales report analysis."

Best Practices

  • Keep a backup before allowing changes. Set write actions to "Need Approval" — not Always Allow — especially for Gmail and Calendar delete actions. AI can make mistakes.
  • Paste sample data for formula tasks. Even 3–4 rows helps Claude understand your column structure and produce accurate formulas on the first try.
  • Have the target file open for Skills. /excel-brief-writer requires a Word document open alongside Excel. /excel-deck-builder requires a PowerPoint file. Keep both ready side by side.
  • Use Sonnet for everyday tasks, Opus for complex ones. Claude Opus hits usage limits faster — use it strategically for multi-step generation like full deck builds, and stick to Sonnet for day-to-day prompts.
  • Connectors set in Claude Web carry over. Gmail and Calendar connectors configured in the web app are also available inside the Excel and Word plugins — no need to reconnect.
  • Break complex tasks into steps. Instead of asking for everything at once, let Claude build one section at a time. It holds context and each step builds on the last.
